Configuring business email on Outlook, Apple Mail, and Android
Once you have created your professional business email address (e.g.: [email protected]) from your web hosting control panel, the next step is to connect it to your favorite email clients. This allows you to send and receive professional corporate emails directly from your computer or smartphone.
To ensure your emails sync perfectly across all devices without losing any data, always use IMAP settings.
The Universal Mail Server Settings (Crucial)
Before configuring any application, keep these universal parameters handy. They are exactly identical across all platforms:
- Username / Email Address: Your full business email (e.g.,
[email protected]) - Password: The exact security password you assigned to that mailbox.
- Incoming Server (IMAP):
mail.yourdomain.com - Incoming Port (IMAP Secure):
993(Using SSL/TLS) - Outgoing Server (SMTP):
mail.yourdomain.com - Outgoing Port (SMTP Secure):
465(Using SSL/TLS) - Authentication: Required (Use the exact same email and password for both incoming and outgoing).
Method 1: Configuring on Microsoft Outlook (Windows/Mac)
Open the Microsoft Outlook application on your computer.
- Click on File in the top left corner, then click the "Add Account" button.
- Enter your full business email address, check the box for "Let me set up my account manually", and click Connect.
- From the Advanced Setup window, select IMAP.
- Enter Server Settings Exactly:
- Incoming Mail:
mail.yourdomain.com| Port:993| Encryption:SSL/TLS - Outgoing Mail (SMTP):
mail.yourdomain.com| Port:465| Encryption:SSL/TLS - Click Next, enter your secure mailbox Password, and click Connect.
- Outlook will perform a quick test handshake loop. Once successful, click Done.
Method 2: Configuring on Apple Mail (iPhone / iPad / Mac)
On your iOS device, navigate to your native Settings application.
- Scroll down and tap on Mail âž” Accounts âž” Add Account.
- From the account provider list, tap on Other at the bottom, then select Add Mail Account.
- Fill in your basic identity credentials:
- Name: Your Name or Company Title (What recipients will see).
- Email: Your full business email address.
- Password: Your mailbox password.
- Tap Next. Ensure the toggle layout button at the top is highlighted on IMAP.
- Under both Incoming Mail Server and Outgoing Mail Server sections, fill in the fields completely:
- Host Name:
mail.yourdomain.com - User Name: Your full business email address (Do not leave it empty under SMTP!).
- Password: Your mailbox password.
- Tap Next or Save. Apple Mail will verify the secure certificates automatically and link your device mailbox instantly!
Method 3: Configuring on Android Devices (Gmail App / Samsung Mail)
Note: While Android layout interfaces differ slightly, using the official Gmail app is the most common approach.
- Open the Gmail application on your Android phone.
- Tap your profile icon in the top right corner and select "Add another account".
- Choose Other from the account provider selection listing.
- Type your full business email address and tap Manual Setup (Do not tap next).
- Select Personal (IMAP) as your account structural type.
- Enter your mailbox password and tap next.
- Incoming Server Settings: Change the default server field text to
mail.yourdomain.com. Ensure the Security type is set to SSL/TLS and the Port is 993. Tap Next. - Outgoing Server (SMTP) Settings: Change the SMTP server to
mail.yourdomain.com. Ensure the Security type is SSL/TLS and the Port is 465. Verify that the "Require sign-in" toggle is turned ON. - Tap Next, set your account sync frequency options, and finish the setup wizard.
Troubleshooting Common Setup Errors:
- "Cannot Verify Server Identity / Expired SSL Certificate" Alert: This happens if your domain's Free Let's Encrypt SSL is still activating in cPanel. As a temporary workaround, you can use your server's direct primary hostname (e.g.,
server.ceylonservers.com) as the incoming/outgoing host name instead ofmail.yourdomain.com. - Can Receive Emails, But Cannot Send: This means your Outgoing Port
465or encryption profile is blocked by your local telecom provider. Try changing the SMTP port to587and selecting STARTTLS as the secure encryption layer.
